Toastmasters Club Advanced ToolsTerms of service

Terms of service

In effect from August 21, 2026.

These terms govern the use of Toastmasters Club Advanced Tools (“the application”), operated by Kevin Verberk. Using it means accepting them. It is provided free of charge to Toastmasters clubs that ask for access.

1. Who may use it

The application is for the committee and members of a Toastmasters club that has been given access, and for the guests those members invite to give speech feedback. There is no public sign-up. Each club’s area is protected by a passcode issued to that club’s committee, and that committee is responsible for who it shares the passcode with.

2. A club’s records belong to the club

Rosters, agendas, feedback, minutes, goals, recordings and every other record a club puts into the application remain the club’s. The operator stores and processes them so that the application works, and claims no ownership of them and no right to use them for anything else. A club may ask for a copy of its records, or for them to be deleted, at any time.

3. What you agree not to do

  • Share a club passcode, or a link that carries access, outside the people entitled to it.
  • Use another club’s data, or attempt to reach a club area you have not been given a passcode for.
  • Publish a recording of someone publicly, or name them in the club’s promotion, without their agreement — or carry on doing so after they have withdrawn it.
  • Use the application to send unsolicited mail to people who are not members, guests, or prospective members of your club.
  • Attempt to disrupt the service, or to reach data or systems you have not been granted access to.

4. Recordings and consent

YouTube

A club is responsible for obtaining consent from the people it records before publishing them. The application records those answers — what each person agreed to, when, and the wording they were shown — and will not set a video public without a recorded answer permitting it. Where it drafts a social post or an email to guests, it also leaves out a person who has declined to be named, and refuses to let that text be copied or sent while it still names them. Beyond that the club is on its own: the application never handles a photograph, and once an officer has copied a draft, what is posted and where is outside it. Anyone may withdraw at any time; withdrawal stops further publishing through the application but does not remove what is already published, and the club must act on that. Video published to YouTube through the application is also governed by the YouTube Terms of Service.

5. Connected accounts

GoogleZoom

A club may connect its own Google and Zoom accounts. Doing so lets the application act within the specific permissions the club granted — nothing else. A club may withdraw that access at any time from the provider’s own settings, and features that depend on it will stop. The club is responsible for the security of the accounts it connects.

6. No promise of availability

This is a small service run by one person. It may be unavailable, interrupted, changed or discontinued, sometimes without notice. Features that depend on other services — FreeToastHost, Zoom, Google, YouTube — stop working when those services change or become unavailable, which is outside the operator’s control.

A club should not treat the application as its only copy of anything it would be sorry to lose. If the service is to be discontinued, connected clubs will be given reasonable notice and the chance to export their records.

7. Provided as is

The application is provided “as is”, without warranty of any kind, express or implied, including any warranty of merchantability, fitness for a particular purpose, or non-infringement. To the extent the law allows, the operator is not liable for any indirect, incidental or consequential loss, or for lost data, arising from use of the application. Nothing in these terms limits liability that cannot be limited by law.

8. Ending access

A club may stop using the application at any time and ask for its data to be deleted. The operator may suspend or end access for a club or person that breaches these terms, or where continuing would put other clubs’ data at risk. On request following the end of access, a club’s data is deleted.

9. Not affiliated with Toastmasters International or Free Toast Host

The application is an independent tool built for club use. It is not affiliated with, endorsed by, or sponsored by Toastmasters International. Toastmasters International’s name, logo and other trademarks are its property and are used only to identify the organisation to which the clubs using this application belong. Clubs remain responsible for following Toastmasters International’s own brand and privacy requirements.

It is likewise not affiliated with, endorsed by, or sponsored by Free Toast Host. The application reads a club’s own agenda and roster from the club’s own Free Toast Host website, using that club’s own credentials and at its request; Free Toast Host is named only to say where that information comes from.

10. Changes

These terms may change. If they change in substance, the effective date at the top changes with them and connected clubs are told by email. Continuing to use the application after that means accepting the revised terms.

11. Governing law

These terms are governed by the laws of the Province of Ontario, Canada, and the courts of that jurisdiction have exclusive jurisdiction over any dispute arising from them.

12. Contact

Questions about these terms, or anything else about the application, contact 7642toastmasters@gmail.com. What the application stores and for how long is set out in the privacy policy.
