Toastmasters Club Advanced Tools

Meeting administration for Toastmasters clubs — the agenda, the speech feedback, the recordings and the club’s own records, in one place instead of six.

What it does

A Toastmasters club meets weekly. Every meeting has an agenda of assigned roles, two or three prepared speeches, and an evaluation of each one. Running that generates a surprising amount of administration: rosters to keep, agendas to publish, feedback to collect from everyone in the room and get back to the speaker, minutes to file, and a club’s progress against its annual goals to report.

  • Agendas and rosters sync from the club’s existing FreeToastHost website, so the meeting schedule is entered once.
  • Speech feedback is collected from members and guests through a link that needs no account, then compiled into one report per speaker.
  • Meeting records — minutes, attendance, motions and votes, the club’s Success Plan and its Distinguished Club Program points — are kept as club records rather than in one officer’s personal files, which is what makes an annual handover survivable.
  • Recordings from the club’s Zoom account are matched to the speech they contain, so a speaker can watch their own speech back.

How it uses YouTube

YouTube

This application uses YouTube API Services to upload a club’s own meeting recordings to that club’s own YouTube channel.

Read our privacy policy, the YouTube Terms of Service and the Google Privacy Policy. A club can revoke this access at any time at myaccount.google.com/permissions.

Clubs meet on Zoom and record their meetings. A recording that stays in a Zoom account expires with that account’s retention settings and can only be shared as a download link, which is a poor way to give a speaker their own speech back. So a club officer can upload a recorded speech to the club’s own YouTube channel and pair it with that speech in this app.

  • An upload happens only when a club officer presses an upload button, with the title, description and privacy setting shown to them first. Nothing uploads on a schedule, on a webhook, or in the background.
  • Videos are uploaded unlisted. They are reachable by the members who are given the link and are not listed on the channel or in search. A club may later choose to make a particular video public.
  • Uploads go to the channel owned by the Google account the club signs in with. This application never asks a club to type in a channel address, and cannot upload to a channel the club has not signed into and authorised.
  • An unlisted upload is not gated on consent, and that is the point of it: the speaker gets their own speech back to watch and to share as they choose. It is not listed on the channel and not searchable.
  • Publishing a speech publicly needs that speaker’s agreement. The application records those answers and checks them before it will set a video public — no recorded agreement, no public video, and a refusal, a withdrawal and a question nobody asked all block it alike. Anyone may change their mind at any time, without giving a reason, and ask for their speech to be taken down.

Who can use it

It is not a public service and there is no sign-up. Each club’s area is opened with a passcode held by that club’s committee, and the clubs on a deployment cannot see each other’s data. Members and guests who are asked for speech feedback reach a single-purpose link and are never asked to create an account.

Services a club connects

Each is the club’s own account, connected by that club’s own officers, and none is connected by default.

  • GoogleSends the club’s email from its own address, and writes its meetings to its own calendar.
  • ZoomReads the club's cloud recordings, and — where the club has switched Zoom's automatic transcription on — the transcript of the whole meeting, which Zoom makes whether or not anything was recorded.
  • YouTubePublishes a recorded speech to the club’s own channel, when an officer presses upload.
